Key Responsibilities

The timeline for the RFP process is below. While we do not anticipate any changes to this timeline, Geneva Call reserves the right to adjust the timeline as needed.

The selected Contractor will report to Geneva Call through the designated MEAL Coordinator.

The Contractor shall maintain regular communication with Geneva Call throughout the assignment and provide updates on:

  • Annex I Request for Proposal minimum requirements
  • progress against the agreed work plan;
  • emerging risks and mitigation measures;
  • data collection progress;
  • challenges requiring decision-making.

Working Conditions

The final terms and conditions, including applicable legal, tax, insurance and liability provisions, will be confirmed during the contracting process.

  • The Request for Proposals is not and shall not be considered an offer by Geneva Call.
  • All responses must be received on or before the date and time indicated on the RFP.
  • All proposals will be considered binding offers. Prices proposed must be valid for entire period provided by the respondent.
  • All awards will be subject to Geneva Call’s contractual terms and conditions and contingent on the availability of donor funding.
  • Geneva Call reserves the right to accept or reject any proposal or cancel the solicitation process at any time and shall have no liability to the proposing organisations submitting proposals for such rejection or cancellation of the request for proposals.
  • Geneva Call reserves the right to accept all or part of the proposal when award is provided.
  • All information provided by Geneva Call in this RFP is offered in good faith. Individual items are subject to change at any time, and all bidders will be provided with notification of any changes. Geneva Call is not responsible or liable for any use of the information submitted by bidders or for any claims asserted therefrom.
  • Geneva Call reserves the right to require any bidder to enter into a non-disclosure agreement.
  • The bidders are solely obligated to pay for any costs, of any kind whatsoever, which may be incurred by bidder or any third parties, in connection with the Response. All responses and supporting documentation shall become the property of Geneva Call, subject to claims of confidentiality in respect of the response and supporting documentation, which have been clearly marked confidential by the bidder.
  • *Terms and Conditions: The assignment will be governed by a written contract between Geneva Call and the selected contractor. The contract will set out the scope of work, deliverables, timeline, responsibilities of the parties, and applicable terms and conditions.
  • *Payment: Payments will be made against agreed deliverables and upon satisfactory acceptance by Geneva Call. The proposed payment schedule will be specified in the contract. Unless otherwise agreed, payments will be made upon receipt of the relevant invoice and confirmation that the corresponding deliverable has been satisfactorily completed.
  • *Fees and expenses: The contractor shall clearly indicate all professional fees and anticipated expenses in the financial proposal. Unless otherwise agreed in writing, the proposed fee should include all costs required to complete the assignment, including research, data collection, analysis, reporting and applicable administrative costs. Any additional expenses must receive prior written approval from Geneva Call.
  • *Quality and professional standards: The contractor shall perform the assignment with due professional care and in accordance with recognised standards for research, data protection and ethical research involving human participants. Geneva Call reserves the right to request reasonable revisions to deliverables that do not meet the agreed requirements.
  • *Intellectual property: Unless otherwise specified in the contract, all reports, datasets, research instruments, transcripts, analytical outputs and other materials produced specifically for the assignment shall become the property of Geneva Call upon completion and payment. The consultant/contractor shall not publish or otherwise disseminate study findings or materials without prior written approval from Geneva Call.
  • *Safeguarding and ethical conduct: The contractor shall comply with Geneva Call's applicable policies and requirements relating to safeguarding, prevention of sexual exploitation and abuse, protection from harassment, non-discrimination, and ethical conduct. The consultant/contractor shall immediately report any serious safeguarding or ethical concern arising in connection with the assignment through the appropriate Geneva Call channels.
  • *Legal and contractual considerations: The contract will be subject to the applicable laws and contractual provisions agreed between Geneva Call and the selected contractor. Geneva Call reserves the right to terminate the contract in accordance with the terms of the final agreement, including in cases of material breach, serious ethical or safeguarding concerns, or failure to deliver the agreed services.
